PES General Meeting Presenter Instructions

Please note for all conference and accepted transactions papers, your registration allows up to 2 paper presentations, if you are presenting more than 2 papers, you will be required to pay a fee of $150.00 per paper after the second paper. 

Presentation of an accepted paper is a requirement of acceptance, if your paper is not presented at the conference, it will not be posted to IEEE Xplore.

Poster Session Presenter Instructions:
 
  • Posters must be created by the author and brought with them to the conference.
  • There is no template for the poster
  • We suggest the poster has the paper title, number and author’s names on it
  • The poster must fit on a 4 foot by 4 foot board
  • Between 3:00PM and 4:30PM on Monday, please bring your poster to the assigned ballroom to post it on the assigned board.  Please exit the room once you have pinned up your poster.  Doors will open for the event at 5:00PM.
  • Check for your assigned board. We will send you a handout with the board number that corresponds to your paper number prior to the meeting and PES staff and volunteers will be on site to assist you in finding your assigned board. Push pins will be provided for mounting.
  • Please note that your board assignment cannot be changed. Attendance will be taken at the Poster Session. If your poster is not on the appropriate board, you will be marked Absent, in which case your paper will not be posted to IEEE Xplore post conference.
  • **If you have 2 posters, post both posters on their assigned boards, then add a note to one of the boards stating – “the author is presenting this paper at board number “ABC”.
  • Poster Session regulations require that authors remain with their posters for the duration of the event in order to discuss their work with interested attendees.  Occasional short breaks are permitted.
  • At 7:00PM, when the Poster Session ends, please remove your poster. Please do not remove your poster prior to 7:00PM
Paper Forum Session Presenter Instructions:

The Paper Forum session will be conducted in the following format: 

  • Each paper in the paper forum will be allotted 7 minutes for presentation using a set of 7 PowerPoint slides on the
    PES PowerPoint Template. [PPTX 3.3MB]
  • After all the presentations are complete, there will be a small poster session in the back of the room where attendees can interact with you one-on-one to ask questions and discuss your paper.
  • You are expected to do both the presentation session and be available during the in room poster session to answer questions. The objective in your 7 minute presentation is to provide a quick overview of the paper’s background, results and conclusions to convince the audience to come talk to you during the poster session.

Before you travel to the General Meeting, you should prepare the following items:

  • A PowerPoint slide deck of 7 slides according to the Paper Forum Session PowerPoint template. Your company logo can go on the first & last slides only.  You must use the Paper Forum Session PowerPoint template, if your presentation is not on this template, you can not present at the session.  Please do not add slides. You will be allowed only 7 slides, including the title slide.
  • A poster conveying the content of the paper.  The poster must fit on a board that is 4 foot by 4 foot.  There is no template for the poster but we suggest it has the paper title, number and authors’ names on it.
  • A brief technical biography of the presenting author
  • You should practice your presentation to ensure you can deliver its content in no more than 7 minutes. The session moderator will keep strict track of the time to allow all presenting authors adequate time to present their papers

At the General Meeting, you will need to do the following things:

  • Attend the presenters breakfast the morning of your presentation to meet the moderator, and provide him/her your PowerPoint presentation file and your technical biography
  • Report to the presentation session room at least 5 minutes before the session is scheduled to start and check in with the session moderator
  • Hang your poster in the assigned place in the session room
  • Immediately after the presentation session is over, stand by your poster in the back of the room for discussion
  • After the poster session is over, remove your poster
Transactions Paper Session Presenter Instructions:

The Transaction session will be conducted in the following format:

  • Each paper will be allotted 10 minutes for presentation using a set of 8 PowerPoint slides on the PES PowerPoint Template. [PPTX 3.3MB]
  • The objective in your 10 minute presentation is to provide a concise overview of the paper’s background, results and conclusions. 

Before you travel to the PES General Meeting, you should prepare the following items:

  • A PowerPoint slide deck of 8 slides according to the Transactions Paper Session PowerPoint template. Your company logo can appear on the first and last slides only.  You must use the designated template. Please do not add slides. You will be allowed only 8 slides, including the title slide.
  • A brief technical biography of the presenting author
  • You should practice your presentation to ensure you can deliver its content in no more than 10 minutes. The session moderator will keep strict track of the time to allow all presenting authors adequate time to present their papers.

At the PES General Meeting, you will need to do the following things:

  • Attend the presenters breakfast the morning of your presentation to meet the moderator, and provide him/her your PowerPoint presentation file and your technical biography
  • Report to the presentation session room at least 5 minutes before the session is scheduled to start and check in with the session moderator
Best Paper Session Presentation:

The Best Paper sessions will be conducted in the following format:

  • Each paper will be allotted 10 minutes for presentation using a set of 7 PowerPoint slides  on the PES PowerPoint Template. [PPTX 3.3MB] 
  • Discussion will be conducted at the general poster session that immediately follows the presentation session on Monday evening from 5:00 pm to 7:00 pm.
  • You are expected to present your paper during the presentation session and also to attend the poster session to answer questions and discuss your paper.
  • The objective in your 10 minute presentation is to provide a quick overview of the paper’s background, results and conclusions to convince the audience to come talk to you during the poster session.

Before you travel to the PES General Meeting, you should prepare the following items:

  • A PowerPoint slide deck of 7 slides according to the Best Paper Session PowerPoint template. You must use the designated template.  Your company logo can appear on the first & last slide only, if you do not use this template, you can not present your paper at the conference.
  • Please do not add slides. You will be allowed only 7 slides, including the title slide.
  • A poster conveying the content of the paper.  The poster must fit on a board that is 4 foot by 4 foot.  There is no template for the poster but we suggest it has the paper title, number and authors’ names on it.
  • A brief technical biography of the presenting author
  • You should practice your presentation to ensure you can deliver its content in no more than 8 minutes. The session moderator will keep strict track of the time to allow all presenting authors adequate time to present their papers.

At the PES General Meeting, you will need to do the following things:

  • Attend the presenters breakfast the morning of your presentation to meet the moderator, and provide him/her your PowerPoint presentation file and your technical biography.
  • Hang your poster in the assigned place in the room where the Monday night poster session will be held before coming to the presentation room (You should be able to access the poster session room after about 12:00 noon
  • Report to the presentation session room at least 5 minutes before the session is scheduled to start and check in with the session moderator
  • Immediately after the presentation session is over, go to the poster session room and stand by your poster for discussion
  • After the poster session is over, remove your poster
Panel Session Presenter Instructions:
  • Please remember each panelist must register for the conference and pay the appropriate fee in order to take part in the IEEE PES General Meeting. 
  • Your presentation must be on the PES PPT template on the PES PowerPoint Template. [PPTX 3.3MB]
  • Your company logo can appear on the first & last slides only.  Please note, if your presentation is not on the PES PPT template, you can not take part in the session.
  • Closer to the meeting you will receive instructions for loading your PPT presentation to the MIRA submission site for archive purposes in the PES Resource Center. This is for posting to the PES Resource Center only. You will still need to send your presentation to your session chair in advance of the meeting.
  • On the morning in which your presentation is scheduled there will be a presenters’ breakfast, please attend that breakfast and sit at the table with your panel session title on it. It is at this meeting that the panel session chair will speak with you and review the session details.
  • Report to the presentation session room at least 5 minutes before the session is scheduled to start and check in with the session moderator.
  • Please practice your presentation to be sure to present it in the allotted time. You can check with the session moderator to see how much time he or she has allotted for your presentation.
  • Please don’t go over time as there are strict time limits and we want to allow everyone an opportunity to speak and to have Q&A.
