Instructions for chairing sessions at the PES General Meeting are below for Best Paper Sessions, Paper Forum Sessions, Transactions Paper Sessions and Panel Sessions. Please read these instructions carefully so you will know what your responsibilities are as a chairperson of a technical session at the PES General Meeting.
Paper Forum Session Chair Instructions:
 
  • Check the conference program for the session room location.
  • Know the authors and presentation titles for your session.
  • Email the authors to send you their presentation in advance of the meeting.
  • Make sure the presentation is on the Paper Forum session PES PPT template and is no more than 7 slides and does not run over 7 minutes.
  • You can obtain the authors’ email address by going to your “moderator menu” on the MIRA site. Click on “view sessions presentations” scroll to the right and the main author’s email address is there.
  • Attend Presenters/Chair Breakfast for authors & session chairs on the morning of the day your session. At this breakfast you will meet with the authors and review the order of the session and answer any concerns or questions the authors may have about your session. There will be a table with your session title on it that is where you should sit and meet your panelists. You can also collect any presentations that were not emailed to you from the presenting author.
  • PES will be providing an LCD Projector and screen in the meeting room and there is wifi throughout the hotel. However, we are not providing laptops so you will need to bring your laptop to play the presentations during the session.
Transactions Paper Session Chair Instructions:
 
  • Check the conference program for the session room location.
  • Know the authors and presentation titles for your session.
  • Email the authors to send you their presentation in advance of the meeting.
  • Make sure the presentation is on the Transactions paper session PES PPT template and is no more than 8 slides and does not run over 10 minutes.
  • You can obtain the authors’ email address by going to your “moderator menu” on the MIRA site. Click on “view sessions presentations” scroll to the right and the main author’s email address is there.
  • Attend Presenters/Chair Breakfast for authors & session chairs on the morning of the day your session. At this breakfast you will meet with the authors and review the order of the session and answer any concerns or questions the authors may have about your session. There will be a table with your session title on it that is where you should sit and meet your panelists. You can also collect any presentations that were not emailed to you from the presenting author.
  • PES will be providing an LCD Projector and screen in the meeting room and there is wifi throughout the hotel. However, we are not providing laptops so you will need to bring your laptop to play the presentations during the session.
At the Session:
  • Arrive at the session a few minutes early.
  • Check session room for necessary AV equipment (LCD Projector/screen)
  • Notify roving Room Monitor immediately of any assistance needed.
  • Start the session on time.
  • Keep the session on schedule, do not let the authors exceed their allotted time.
  • Manage the time allocated to each paper (10 minutes/8 slides), introducing each presenting author.
  • Manage the discussion for each paper, each presenter should have an equal amount of time for discussion.
After the session:
  • As you know, a condition of acceptance of a conference paper is presentation at the conference. IEEE requires every paper to be presented in order for it to be included in IEEE Xplore. To that end, PES has created an online reporting tool that you, as the session chair, will have access to, it is here that you will record if the papers in your session were presented or not.
  • Log into the MIRA site: https://submissions.mirasmart.com/PESGM2023/Login.aspx.
  • Log into your account.
  • Go to your “moderator menu.”
  • Click on “View session presentations.”
  • Then for each paper click on “yes” if it was presented and
  • Click on “no” if it was not presented.
  • When you are done click on “update presented”
Best Paper Session Chair Instructions:
 

Before the session:

  • Attend Presenters/Chair Breakfast for authors & session chairs on the morning of the day your session. You can also collect any presentations that were not emailed to you from the presenting author.

At the Session:

  • Arrive early for the session to help coordinate with the Judges, ensuring they have the appropriate scoring forms.
  • Check session room for necessary AV equipment (LCD Projector & Screen).
  • Notify roving Room Monitor immediately of any assistance needed.
  • Start the session on time.
  • Keep the session on schedule, do not let the authors exceed their allotted time.
  • Attend the entire afternoon session, managing the time allocated to each paper (10 minutes / 7 slides), introducing each presenting author in turn, and managing loading the presentations for the papers as they are presented.
  • There will be no discussion of papers during these sessions; all presenters will have posters in the Monday evening poster session where the papers can be discussed.
  • There will be two Moderators for each session so the duties can be split to help maintain the session’s time schedule.
  • You must attend the session in-person; there is no provision for a virtual session.

After the session:

Panel Session Chair Instructions:
 

Before the session:

  • Have the panelists’ email you their presentation in advance of the session. You will need your laptop for the session.
  • Ensure the presentation fits the time you have allotted for each panelist to speak.
  • Ensure that the panelist used the PES PPT template, all presentations must be on the PES PPT template.
  • Prepare questions in advance to help stimulate discussion.
  • Attend Presenters/Chair Breakfast for authors & session chairs on the morning of the day your session. At this breakfast you will meet with your panelists and review the order of the session and answer any concerns or questions the panelists may have about your session. There will be a table with your session title on it that is where you should sit and meet your panelists.
  • PES will be providing an LCD Projector and screen in the meeting room and there is wifi throughout the hotel. However, we are not providing laptops so you will need to bring your laptop to play the presentations during the session.
  • Please note, if a panelist says they uploaded their presentation to MIRA, it is for posting to the PES Resource Center only. You will still need it on your laptop for the session. If you need to access it via MIRA you can do so by logging into MIRA, go to your moderator menu and click on “view session/presentations” next to your session name. If the panelist loaded a presentation, it will be on the right of the author’s names.

At the session.

  • Check session room for necessary AV equipment (LCD Projector & Screen).
  • Notify roving Room Monitor immediately of any assistance needed.
  • Check with each presenter to be sure they are familiar with the AV equipment to be used.
  • Start the session on time
    • Introduce the session.
    • Keep the session on schedule, do not let the panelists exceed their allotted time.
    • Moderate the discussion period after each presentation, if time allows, stimulate the question/answer period.
    • Divide presentation time and discussion time equally among presenters.
